If you run a creative business, a freelance practice, a small studio, a one-person shop, you're probably quietly struggling with something we just don't talk about enough.

You only spend about half your time on actual work. You know, the stuff you're actually good at. The rest of your time is spent on admin, finance, repetitive tasks, and finding new clients to keep your pipeline filled.

This week's issue is about that last one. Or more accurately, about the fact that most creative businesses don't really have a system for it at all. You rely on inbound, but it's not quite enough. You tell yourself you'll do more outreach. You don't. Because outreach can be a full time job in itself.

I built an AI workflow that can handle this for you.

The bit nobody warned you about

Inbound carries most independent creative businesses. Your website. Your portfolio. Your Instagram. Word of mouth from past clients. You produce great work, and you put it out to the world for people to see. People find you, and when they do, they often become clients.

But relying on inbound alone can be risky. What if Instagram suddenly changes their algorithm and it gets harder for new people to discover your work? What if your customers stop using Google for search and use ChatGPT instead?

The solution is outbound. The process of you putting yourself in front of prospective clients rather than waiting for them to find you.

But as anyone that has done any sort of manual outreach can tell you, it's a lot of work.

You not only need to discover the kind of clients that are in need of your exact services, but you also need to conduct deep research to understand how you can serve each one of them best, craft effective email copy that demonstrates your value without sounding 'salesy', and then once you've done that, find the verified contact information for the key decision makers to ensure you are speaking directly to the right people.

This is something lead-gen agencies and software companies have been targeting for years. There are hundreds of services out there that offer to handle all this legwork for you. But they are expensive, and they ultimately create a pipeline that you don't own. When the payments stop, the leads stop too.

Why "just doing more outreach" doesn't fix it

Another approach could be to use a mass email marketing platform to automate this outreach process completely. This is the 'throw enough sh*t at the wall and see what sticks' methodology.

If you speak to 1,000 people per day, surely at least a few of them will want to work with you?

The truth is, generic at scale just doesn't work. You can very easily send a templated email to thousands of people for very cheap. Plenty have tried this before you. In 2026, the reply rates are basically zero. Your prospective clients receive these emails by the dozen every single day and they can recognise them in seconds. They flag as spam, your deliverability tanks, you're back to square one.

So if the manual approach takes too long, generic automation is ineffective, and agencies are expensive, what is the solution?

The workflow

The Pipeline Engine is an AI workflow that lives inside whichever AI tool you already use. Claude, ChatGPT, Cursor, or any chat tool that supports skills or MCPs (if these words are new to you, picture a self-contained set of instructions you drop into your AI tool once and call by name whenever you want. You don't need to write prompts. You don't need to be technical).

Here's what it does, in plain English:

Setup.

Provide the workflow with some information about you and your work. It will also need to be connected to a few external tools. It will walk you through the setup process for each. The whole setup takes around 10 minutes, one time.

Find companies that fit.

You describe your ideal client in your own words ("independent skincare brands on Shopify, 10 to 50 staff", "architecture studios doing residential work in cities over 500k"). The workflow pulls a list of matching companies from Apify, a platform that aggregates public business data behind a single connection point. You can specify how many prospects you want it to gather per run. You can also be as broad or as specific as you like with your geo targeting.

Finds the decision makers.

Once it has a list of companies, it then goes in search of the key decision makers at each, as per any criteria you specify. Eg. "Marketing leads" or "founder/CEOs". If you don't know who the key decision makers are, it will default to founders.

Finds verified contact info.

Now you need a means of actually getting in touch with them. You do not want to be emailing public mailboxes (things like info@ or support@), as these will never reach the decision makers. You need direct email addresses, verified from multiple sources to ensure each one is real, accurate, and live.

Research.

In order to write effective email outreach, you need to understand the people and brands you are speaking to on a deeper level. AI conducts this research for you and produces a summary of opportunities, gaps, or talking points that can assist you with your outreach. It could relate to a recent post on the company LinkedIn, a recent hire, an industry award, something about a client of theirs.

An opening line.

It takes the research and proposes a one-line opener that you can use in your outreach email. Something like "Saw the new identity work you did for [client]. The typographic system is doing a lot in such a small space." You drop it into your email then write the rest. It's important that this bit comes from you, because your taste is what will make these emails land.

You choose how the results come back: a downloadable CSV file, a Google Sheet, or a Notion database. Whichever you pick, every row has the prospect, a verified email address, the research (including sources), and the personalised opener.

What does this cost

This runs from your existing AI subscription (ChatGPT, Claude, Gemini, etc) at no additional cost.

It uses two external tools to pull and verify the lead data: an Apify account and an email verifier like Hunter. Apify gives you $5 of usage credit when you sign up, which covers several hundred leads of discovery before you'd need to top up. Hunter (and Snov.io as an alternative) offers 25 to 50 free email verifications per month.

Beyond the free path, both services run pay-as-you-go at very low rates (roughly $1.50 per 1,000 leads on Apify's cheapest discovery actor; Hunter is around $49/month for 500 verifications if you need more). The workflow is designed to work on the free path by default, which will give you more than enough usage to test it properly.

The choice

You've got two ways to go:

You keep doing what you're doing. Continue to rely on inbound clients to keep you busy. Some months you're at capacity, some months are dry, and you have almost no control from month to month.

Or

You layer in an effective outbound strategy on top of your inbound. Build a simple, repeatable system that brings in a consistent stream of clients every month without it consuming too much of your time. This also gives you the flexibility to choose when you are busy. Want to fill your diary? Do more outreach. Want to take it easy for a few months? Scale down your outreach. You are fully in control.
